2. Scope of this notice

This notice applies to the personal data we receive through:

• The contact form on this site.
• Emails sent to [email protected].
• Business communications that arise from an inquiry made on the site.

This notice does not govern data processing carried out while providing services to clients. When a project requires processing information from the client or third parties, the confidentiality, security and data processing terms are set out in the relevant contract or agreement.

3. Data we collect

Through the contact form we ask for:

• First and last name.
• Company.
• Work email address.
• The type of process you want to automate.
• A message or description of the process, if you add one.
• Phone number, only if you choose to provide it.

We may also receive any other information you decide to include in your message or in later communications.

The site and its technology providers may process technical data needed to operate, protect and troubleshoot the service, such as IP address, browser type, date and time of access, referring page and data related to preventing spam or abuse.

We do not ask for passwords, login credentials, banking details, medical information or other sensitive categories of information. We recommend that you not include this type of data in your message.

We do not use this data for unsolicited mass mailings, we do not build advertising profiles and we do not sell databases.

5. Basis for processing

Under applicable law, we process data because:

• You request information or voluntarily start a business conversation.
• The processing is necessary to respond to that request or to take steps prior to a potential contract.
• Huapix Solutions has a legitimate interest in handling inquiries, developing business relationships and protecting its site.
• You give your consent, where the law requires it.
• It is necessary to comply with a legal obligation.

Where processing is based on your consent, you may withdraw it at any time. Withdrawal does not affect the validity of processing carried out before it.

6. Technology providers

To operate the site and handle inquiries we use the following providers, which process data on behalf of Huapix Solutions and only as needed to provide their service:

• Web3Forms, operated by Web3Creative, receives the form content and sends it to us by email. According to its policy, it uses infrastructure from Amazon Web Services (including Amazon SES), Cloudflare and Hetzner, and spam prevention services such as CleanTalk and Akismet. Its privacy policy is available at web3forms.com/privacy (opens in a new tab).
• Microsoft 365, for company email.
• Cloudflare, for hosting, delivery and security of the site.

7. International transfers

Huapix Solutions LLC is organized in the United States and provides services to companies in various countries. As a result, data may be processed in the United States and in other countries where Huapix Solutions or its providers operate; for example, Web3Forms operates from India and uses infrastructure in several regions. These countries may have data protection laws that differ from those of your country of residence.

Where applicable, we seek to work with providers that apply reasonable contractual, organizational and technical measures to protect information.

8. How long we keep data

We keep data for as long as needed to respond to your inquiry, maintain the business conversation, manage a potential contractual relationship, comply with legal, accounting or contractual obligations, and handle claims or protect legitimate rights.

If an inquiry does not lead to a business relationship, we delete the data or stop using it once it is no longer reasonably necessary.

Web3Forms states that it keeps form submissions for up to three years from receipt, unless they are deleted sooner.

9. Who we share data with

Only when necessary, with:

• Authorized Huapix Solutions personnel and collaborators.
• The technology providers listed in this notice.
• Professional advisors bound by confidentiality obligations.
• Public authorities, when there is a legal obligation or valid request.
• A successor company, in the event of a reorganization, merger or transfer of the business, with appropriate safeguards.

We do not sell personal data or share it with third parties for their own advertising.

10. Security

We apply reasonable technical and organizational measures to protect data against loss, unauthorized access, modification, disclosure or destruction. The site and the form run over HTTPS connections. Even so, no system connected to the Internet can guarantee absolute security.

11. Cookies and analytics

This site does not use advertising cookies or technologies that track visitors across different sites.

Hosting and security services may receive technical information, such as IP address and browser data, to deliver content, protect the site and prevent abuse. To measure visits we may use Cloudflare Web Analytics, which measures in aggregate, without cookies and without identifying individual visitors.

If we add tools in the future that require your consent, we will update this notice and, where appropriate, provide a way to manage that consent.

12. Your rights

Under applicable law, you may request:

• Access to your personal data.
• Correction or updating of inaccurate data.
• Deletion of your data.
• Restriction of or objection to processing.
• Withdrawal of your consent, where applicable.
• Portability of your data, where applicable.
• Information about the recipients or categories of recipients of your data.

To exercise these rights, write to us at [email protected] with your name, your request and the information needed to identify the data. We may ask for additional reasonable information to verify your identity. We respond within the time limits set by applicable law. You may also file a complaint with the data protection authority in your country.

13. Minors

This site and Huapix Solutions' services are intended for businesses and professionals. We do not seek to collect data from minors. If we learn that we have received such data without proper authorization, we will take reasonable steps to delete it.
