Automation for logistics and foreign trade

Foreign trade information is scattered across the ERP, PDF documents and government portals that offer no integration. That's exactly where we work.

Common problems

Sound familiar?

  • Three systems that don't talk to each other and a team matching data by hand.
  • Closing windows concentrated into just a few days.
  • A mistyped value goes straight into a declaration filed with customs authorities.
  • SAP and the warehouse system don't share information, so someone re-enters it.
Available automations

What we can automate

01

Customs portal integration

Checks pending operations and enters the information in the portal, validating values first.

02

Import files and invoices

Reads the documents in each import file and enters the data in the system.

03

SAP and warehouse management systems

Exchanges information between SAP and the warehouse system, with no manual re-entry.

In detail

How we solve it

What the automation does

  1. Detects operations pending processing in the portal or the system where they sit.
  2. Reads and interprets the related documents and derives the data the process needs, without relying on rigid templates.
  3. Matches information across sources and reconciles documents with pending operations.
  4. Executes in the ERP the transactions the process requires, including those that depend on calendar or conversion rules.
  5. Validates values before sending them: if an amount doesn't match its reference, the submission stops.
  6. Completes the data in the external portal.
  7. Reports the result operation by operation: processed, pending or failed, and in that last case, with the cause.

On replicability

Our reference case is Chilean and responds to that country's regulations and portal. We don't offer it as a product that installs the same way in any market: each country has its own framework, documents and systems. What does carry over is the ability to automate complex customs processes that combine an ERP, unstructured documents and portals with no API.

How it works

From input to outcome, with no manual steps

1

Detection

Pending operations in the portal or the system.

2

Reading

Settlement PDFs, invoices and shipping documents.

3

ERP matching

Documents reconciled with operations and transactions in SAP.

4

Validation

If a value doesn't match, the submission stops.

5

Entry and reporting

Data in the portal and the status of every operation.

We work on top of the systems your company already uses. When no integration is available, we operate the system the way a user would or generate files for import. How we integrate with SAP.

Benefits for your operation

  • Less time spent looking up and entering data.
  • Lower exposure to keying errors in declarations.
  • Traceability of each operation's result.
  • Scheduled execution based on closing needs.
